Essential Questions to Ask (Gently)

The Basics

"What's the problem and how are you feeling?"
"Any idea when you might be back, or shall we touch base tomorrow?"
"Is there anything urgent I need to cover or reassign today?"

For Longer Absences

"Do you think you'll need to see a doctor?"
"Is there anyone at home to help, or do you need any support information?"
"Should I expect an update tomorrow, or when works for you?"

Never Ask: Detailed medical information, whether it's ‘really’ necessary, or demand a specific return date.

Information to Record Immediately

Date and time of call
Brief reason (don't need a medical thesis)
Expected return date (if known)
Any work handovers needed
Whether they've contacted anyone else
Your response and any arrangements made

Your Immediate Action List

Acknowledge empathetically: "Sorry to hear you're unwell, focus on getting better"
Confirm coverage: "Don't worry about X meeting, I'll handle it"
Set expectations: "Text me tomorrow if you're still off, no need to call"
Update systems: Log the absence properly (not as AWOL!)
Brief the team: "Sarah's off sick, here's how we're covering..."

Responses That Build Trust

Say This: "Thanks for letting me know. Rest up and we'll speak tomorrow."
Not This: "Really? You seemed fine yesterday." 

Say This: "No problem, I'll sort the rota. Just keep me posted."
Not This: "This is really inconvenient timing." 

Say This: "Hope you feel better soon. The work will still be here when you're back."
Not This: "Try to get back as soon as you can, we're swamped."
